Important: As of April 2024/20/24/4 release. Brightspace Datasets Major Version 9 is the default version for Insights Report Builder. Authors must remap any DataFlows, reports, or dashboards that depend on Version 8 data sets to use Version 9 instead. Hosting requirements
The Brightspace Data Platform uses Amazon Web Services™ (AWS) for data storage. Data is hosted in the same region as your LMS.

Note: Analytics Builder and Insights Report Builder are only intended for non-learner personas, and as such there is a maximum of 20,000 viewers. Ensure that only users who need access have the Can Use Analytics Builder permission to keep your viewership below this limit.

Analytics Builder roles
Custom permissions are important for restricting author and reader roles access. You must manually add these custom permissions on the QuickSight website or else registering or updating users will fail.
Author
Any user with an organization level role with the Can Use Analytics Builder permission can become an Author by being set up by an administrator with the Can Manage Analytics Builder permission. These authors do not need to have the same role.
Authors can:
- Export Dashboards to CSV, Excel, and PDF
- Share Analyses, Dashboards, and Datasets
- Create and update all datasets
- Create and update all Super-Fast Parallel In-memory Calculation Engine (SPICE) datasets
- Create and update email reports
- Subscribe to email reports
- Create or update threshold alerts
Authors cannot:
- View SPICE capacity
- Add and run anomaly detection
- Create and update all data sources
- Create or rename shared folders
Reader
Readers can:
- Export Dashboards to CSV, Excel, or PDF
- Create or update threshold alerts
Readers cannot:
- Share Analyses, Dashboards, and Datasets
- Create or update all datasets
- Create and update all Super-Fast Parallel In-memory Calculation Engine (SPICE) datasets
- Create or update email reports
- Subscribe to email reports
- View SPICE capacity
- Add or run anomaly detection
- Create or update all data sources
- Create or rename shared folders
Insights Report Builder roles
A unique, valid email address is required to create a new Insights Report Builder user. If multiple users share the same email address in Brightspace, then one of the users is created successfully and the other will fail until a unique email address is defined.
When granting access to Insights Report Builder, it can take up to 1 hour for the new user to be added.
Author
By default, each organization can define 2 author users. Any user with an organization level role with the Can Use Analytics Builder permission can become an author by being set up by an administrator with the Can Manage Analytics Builder permission. These authors do not need to have the same role.
Note: To author new reports, use the Analytics Builder tool. It is now only possible to view reports, dashboards, and visualizations with Insights Report Builder.
To modify, or remove an author, go to the Insights Portal and click Manage Authors.
Authors can see all visualizations their fellow authors have built. Visualizations in Insights Report Builder are called cards which can exist on pages or dashboards.
Authors can:
- View their curated onboarding tutorial on the Quick Start for Authors dashboard.
- View card templates on the Templates dashboard.
- View DataFlow templates in the Data tab with the Template tag.
- View all datasets in the Data tab with the associated BDS version.
- Add existing users to groups.
- Share cards, pages, and dashboards with users or groups.
- View DomoStats Activity Log dashboard to understand the usage of Insights Report Builder for their organization.
- Turn Magic ETL v2 on or off (it's on by default for new DataFlows).
Authors cannot:
- Create new or edit existing cards, pages, dashboards, or reports.
- Edit or delete raw datasets.
- Upload additional datasets.
- Add new users via Insights Report Builder. Users must be added through Roles and Permissions in Brightspace.
Viewer
Any user with an organization level role with the Can Use Analytics Builder permission is automatically a viewer. When launching Insights Report Builder, a viewer sees any reports, dashboards and visualizations that are explicitly shared with them as an individual or because of their presence in an Insights Report Builder defined group.
Viewers can:
- View their curated onboarding tutorial on the Quick Start for Viewers dashboard.
- Review cards and pages that have been shared with them.
- Schedule reports and configure alerts to be emailed to users.
- Interact with cards and pages that have been shared with them (filter, drill, export and so on).
Viewers cannot:
- Create cards or pages.
- Access raw data sets or DataFlows.
- Share visualizations with other users.
Security and Data Access Control
Using Row-level and Column-level security with Analytics Builder
To create datasets that are useful and relevant to report consumers, it is possible to limit rows and columns available to specific users. This is not mandatory but can assist in distributing and protecting specific data points in your reports:
- Row-level security enables you to grant permissions so that instructors can see only the courses they instruct. An administrator or department head may share a dashboard to multiple instructors. Each instructor can view the same dashboard, but the content each can see is limited to their specific courses; they cannot see content from courses they do not teach.
- Column-level security enables you to secure columns within the dataset that should not be widely viewed. For example, in the interests of protecting Personally Identifiable Information (PII) or preserving the anonymization of assignment submissions, an instructor may be limited in seeing last names or user IDs of the learners in their classes.
To set row- or column-level security:
- On the Analytics Builder home page, select a dataset.
- On the Dataset properties dialog, click Summary.
- Under About, click Set up

Using Trusted Attributes in Insights Report Builder
To provide another layer of data access control, Authors can use Trusted Attributes to define data access for specific individuals. Trusted Attributes are a component of Personalized Data Permissions (PDP) policies that can be applied to DataFlows you create from existing data sets within Insights Report Builder. Once applied, these allow you to filter data for that DataFlow to a specified set of users and groups.
