Updating Insights Report Builder for Brightspace Data Sets Major Versions

Insights Report Builder allows you to create and personalize reports and dashboards using data from Brightspace Data Sets (BDS). As the BDS evolve and change over time, you can take advantage of these enhancements. Be aware that any changes to BDS will impact Insights Report Builder. Refer to Impact of Minor & Major Version Changes on Insights Report Builder for more details.

When you adopt a new BDS Major Version, follow the steps below to update Insights Report Builder.

Step 1: Identify the impacted BDS

Review Motivations behind the changes in Data Hub Brightspace Data Set (BDS) Major Version 10 and identify the BDS that are impacted by the major version change. While a major version applies to BDS as a whole, it is common that only a handful of BDS are actually affected.

Step 2: Enable the new BDS major version

In Roles and Permissions, ensure the Config Variable Browser > Can See/Edit Config Variable Values and Brightspace Data Sets > Can Access Brightspace Data Sets permissions are both granted to administrators at the org level.
In Config Variable Browser, ensure the d2l.Tools.BrightspaceDataSets.Version configuration variable is set to version 10.0 or higher.

Important Note: New and changed Brightspace Data Sets (BDS) appear after the first full data set runs after the major version release.

Step 3: Update items in Insights Report Builder

For each of the BDS you identified in Step 1, you must update the dataflows, reports, and dashboards in Insights Report Builder that use its data. Only Author users in Insights Report Builder can create and edit these items, so every Author must make the necessary updates to items they own.

Once the new BDS major version becomes available and you adopt it, you must make sure items (dataflows, reports, and dashboards) that use impacted BDS are remapped to the new version. Anything mapped to the earlier version will continue to function, however no new data will be available.

In the examples below, we are remapping everything that is using Quiz Objects 8 to the new Quiz Objects 9.

To understand the impact of BDS Major Version changes:

1. In Insights Report Builder, in the top menu, click Data.

2. In the left navigation bar, click All DataSets.

3. Use the search bar to search for each BDS name. In the example below, we searched for Quiz Objects.

4. Select the dataflow for the BDS.

5. In the dataflow details page, open the Lineage tab.

The Lineage view shows you all the dataflows, reports, and dashboards you need to update.

Navigate through the tabs in the right panel to see the relationships that this BDS has to DataSets, DataFlows, Cards, and Alerts.

To update dataflows:

Open the impacted DataSet for editing.
Click Configuration.
Under Input DataSet, click Change DataSet and select the latest version.

To update reports and dashboards:

Edit the impacted Cards.
Click Data and select the new version of the DataSet.

Frequently Asked Questions

1. When will BDS Major Version 10 be available in Insights Report Builder?

BDS Major Version 10 will be available in Insights Report Builder starting in April 2025/20.25.04. After you enable the new BDS major version (Step 2 above) and a full dataset run is completed, BDS Major Version 10 will be pulled into Insights Report Builder. Depending on the size of the BDS, it may take a few hours for this pull to complete and for BDS Major Version 10 to be available in Insights Report Builder.

2. When will BDS Version 9 stop being updated in Insights Report Builder?

After you enable the new BDS major version (Step 2 above), BDS Version 9 will no longer receive updates in Insights Report Builder. Consequently, items that rely on BDS Version 9 will not reflect the latest data. When BDS Major Version 10 becomes the default version in Data Hub in August 2025/20.25.08, BDS Version 9 updates will end for all customers.

We strongly recommend you make changes in Insights Report Builder before BDS Version 10 becomes your default version.

3. When will BDS Version 9 and below be deleted in Insights Report Builder?

To ensure the health of our platform and continued data integrity, we will delete BDS version 9 and below from Insights Report Builder in December 2025/20.25.12. We will also delete corresponding dataflows, reports, and dashboards that use BDS Version 9 and below.
