    Hello Hugh,

When a student drops a course and you need to prevent them from accessing Brightspace, the best approach is to deactivate their user account. This action ensures the student cannot log in or view any courses, while keeping all their historical data—such as grades and submissions—intact for reporting and auditing purposes. Deactivation is reversible, so you can reactivate the account later if needed.

    Steps to Deactivate a User

    • From the Admin Tools menu, select Users.
    • Search for the student by name or ID.
    • Select the checkbox next to their name.
    • Click More ActionsDeactivate Users.
    • Confirm the action.

Once deactivated, the student will no longer have access to Brightspace or any enrolled courses, but their records remain available for instructors and administrators. This is the recommended method because it preserves data integrity while ensuring compliance with access policies.

I hope this information is helpful.
    Have a nice day!
