Deleting Full Learning Groups
Hi Everyone,
I am new to D2L learning platform as an Admin for my organization. We have several courses running via D2L and each course has multiple learning groups. A single learning group can have maximum of 200 learners. Once it's full, we need to open a new one each time. As a result, we have accumulated a lot of full learning groups showing that are confusing our learners. Can I delete full Groups or at least hide them from the view of learners without causing any issues to those who are enrolled in those full Groups? I can only see "delete" option and no other option. I am afraid deleting a full group will cause issues to those enrolled.

Hi Alisa,
You are correct that deleting Groups will cause issue to those Learners already enrolled. I'd love to learn more about how and why you are using Groups in this way - perhaps there is another tool or workflow that might to suit your use case.
Without knowing too much about how you are using Groups, I will still suggest that this might be a good place to make use of my favourite Brightspace tool - Intelligent Agents. You can set these automated actions to occur when users meet certain conditions. For example, once a learner completes a course (maybe by passing a "Become an interviewer for Volunteer Roles" Assignment or Quiz), you can use an intelligent agent to automatically unenroll them from the course. This should also unenroll them from any groups they were apart of in the course, freeing up those Group spots for active members.

Hi Brielle,
Thanks a lot for suggesting the Intelligent Agents tool! We will look into it with my colleague. Would the tool be able to unenroll learners from the course only beginning with the date it's set up or is it going to be able to unenroll those in older learning groups who have completed their course(s) years ago?
In terms of why our learning groups were set up that way - I think the original vision was to have the entire organization mapped out, so that you would only have access to the profiles of the learners in your actual group. But that wasn't exactly feasible. And we've been told by Brightspace that the limit of 200 learners per learning group is a hard cap that we can't change, which is why we constantly open up new groups.

Hello Alisa
Thank you for reaching out!
Regarding your question about Intelligent Agents, you can configure an agent to identify users who have completed the course in the past (based on what criteria are set for completion) and have not had any activity since. For example, you can create an agent with criteria to unenroll students who meet this condition. Additionally, you can set up an Intelligent Agent based on specific release conditions, depending on what best fits your use case for students who previously completed the course.
I am also attaching an article on setting this up with Intelligent Agents here:
I hope you find this resource helpful. If you have any questions or concerns, please do not hesitate to contact me directly.
Thanks,
