Would I be correct in saying that IA is useful within a course and not something that can be used as an outside or overall main Org Unit tool?

Since we add students/instructors to our Brightspace instance via IPSIS there is no way for us to email a student or instructor that they have been added to Brightspace as a user regardless if they have enrolled in a course or not.

Does this make sense to anyone?

All we are trying to do is acknowledge to the student or instructor automatically via email that they have been added to Brightspace at our university and here's how you reach Brightspace with the url and the login parameters.

Any hints, suggestions, comments are welcomed!

Thanks everyone, ShawnP

  • @Shawn.P.251, IA can certainly be useful outside of a course/Course Offering, the tricky part is just understanding how the Release Conditions or whatever you put in the Criteria section may be different to target the users that you want.

For the scenario you described, here's what I would suggest.

At your Org level, create an IA with a Release Condition of "Role in current org unit". That way you could also make different ones based on the type of role the user would be (create a different email for students versus instructors).

Then, make sure that in the Actions the Repetition is set to "Take action only the first time the agent’s criteria are satisfied for a user" so that they would only ever get this email once.

If you are worried about who the message would go to, remember you can utilize a "Practice run" to see who would meet the criteria you send before it starts running.

    Hope that helps!
