"Allocate unenrolled users after Self Enrollment Expiry Date" option not working

When creating groups for my class of 175 students, I set an expiry date, and checked the box "Allocate unenrolled users after Self Enrollment Expiry Date" (see attached image). Most students self-enrolled, but my understanding was that the remaining unenrolled students would be automatically placed into groups that were not full.

However, the next morning, there were still 21 students unenrolled, and several groups that were not full. Why were these students not automatically enrolled?

  • @Eduardo.R.1787, you may need to consult with your local Brightspace/LMS admin, but there is a local configuration for your Brightspace site that effects this: d2l.Tools.Groups.EnrollExpiredTaskFrequencySeconds ( Instance ). If you look at the documentation for Groups, you will find the following statement, "The automatic enrollment recurs at a set interval after the expiry date to ensure that all learners are assigned to a group."

    Normally this "set interval" is defaulted to 24hours/1 day, but your site may be configured differently. If you had posted this during the 24 hours after your Expiry date, I would check the group enrollments again now to see if they updated. If they haven't, consult with your local Brighspace/LMS admin to check what that configuration setting is set to.

    Thanks @Johnny.B.962 this is helpful. I assumed that the automatic enrollment would trigger at the expiry date since, as a user, I didn't have an option for when to trigger it. Perhaps the default is not immediately after the expiry date to give instructors time to make manual adjustments? That would be good to know in the instructions.

    Indeed, over the weekend, the unenrolled students were automatically enrolled in groups that were not full.

  • @Eduardo.R.1787, honestly I also thought it would just happen immediately after the Expiry Date as well, but thanks to your question I had to consult some colleagues to confirm. Hope this will serve as a good reference for the next person with a similar issue.

    Agreed some other indicator for instructors would certainly be helpful to clarify that. Good suggestion for an item to put onto the PIE if you are interested. Otherwise I'm certainly circling this internally where I can.
