Data Purge Tool, I am wanting to start utilizing this tool to clean out courses older then 3 years of age from our systems, of course there will be some courses we will single out for non deletions, but I am wondering if anyone in the community has a process they follow with the college in deleting older courses? An example would be how do you communicate to instructors what is about to happen to delete courses to give them the opportunity to save some of the information? How to identify courses that should not be deleted? Just some examples of what I am looking for, a thorough process of how one goes about deleting old courses from communication to the deletion of the courses? Would love feedback on this topic? A complete process example?

I have attached the directions that I created for others to use to clear out old courses.
If you can’t do the End Semester Batch part, you can create a help desk ticket and D2L can remove them for you.

The technical side of the data purge is fairly straight forward. The social and policy side may be slightly more complicated - I'd check with your IT group (if you're not a part of it) on data retention (ie. how long you need it) and then also with your appeals process people to determine whether someone could conceivably appeal a course from 3 years ago. In our case, we'd take a step further and contact the owner of that course making them aware of that decision - we have a typical timetable of that notification process - 6 months, 3 months, 1 month, 1 week, 1 day. At any time the owner of that space could ask us to delay - and we would comply (only because we see it as this scenario: while we own the building, they own the space). Your needs will be specific to your scenario.

Carlos, It has been over two years since I have done this, but I could locate the actual messages we posted in D2L & the email sent if they would be of interest. Wisconsin System has been doing this for years with very few complaints. Mary-Alice Muraski
